Here are answers to commonly asked questions regarding Conference Services at Wheaton College. If you need further information, please feel free to contact our staff.


Does the College have designated meeting or event space?

Wheaton College is pleased to offer use of the entire campus for residential conferences during the summer months. We can host conference groups in May, June, and July, as well as a limited number of non-residential events during the school year.

Wheaton College facilities are available for youth programs, religious meetings, concerts, educational sessions, sports camps, board meetings, and private functions.

What services are available with the space?

The Wheaton College campus showcases classrooms, lecture halls, and auditoriums that provide state-of-the-art presentation equipment. Campus Academic & Media Technology personnel and equipment are available to conferences, as well as our award-winning food service, a sports and recreation center, wireless internet access, and a bookstore.

Conference Services is proud to be certified as a One-Stop Shop by the Association of Collegiate Conference and Events Directors—International (ACCED-I), the leading association representing the college conference and events profession. Arrangements for all of your event needs are coordinated by one event manager, resulting in only one invoice for facilities and services from Wheaton College.

What type of lodging is available?

Residence hall housing can accommodate nearly 1,300 people in air-conditioned comfort, and is available from mid-May through the end of July. Our largest residence hall is arranged in suites, with two double bedrooms sharing a bathroom between. We also have dormitories arranged in traditional-style rooms with a common floor bathroom.

All of our residence halls offer staffed front desks, individual temperature controls in each room, in-room telephones, computer labs, laundry, TV, a kitchen with refrigerator and microwave, vending machines, ice machines, and recreation space.

What type of food service is available?

Bon Appétit is the College’s food service provider, offering cafeteria style meals three times daily. They also provide catering service for special events. Wheaton College has always been in the top tier among college and university food services as surveyed by The Princeton Review.

Is internet access provided at Wheaton College?

Wireless internet access is available to conference attendees for a small fee per computer.

Is audiovisual equipment available onsite?

All of the auditoriums and lecture halls, as well as most classrooms, are equipped with smart desk technology that allows the use of a computer, projector, screen, and DVD player.

Can we set up our own equipment, signage, seating, etc.?

As long as approval is granted by the College in advance of the event, conferences may bring their own equipment and signs for any specific set-ups required.

Does Wheaton College operate with a written contract for groups?

Yes, Conference Services will negotiate a contract for each conference, tailored to the specific needs of the event. All contracts specifically prohibit the use of alcohol or smoking on the campus.

What happens if the meeting or event must be canceled?

To reserve dates and facilities, a non-refundable deposit is required at the time the contract is signed. If an event or meeting is canceled with notification as specified in the contract, there are no penalties assessed other than the non-refundable deposit.

Can we negotiate special group rates?

Wheaton College rates for food, housing, and facilities are very competitive among colleges and universities in the Chicagoland area. It is not our practice to negotiate special group rates.

Does the College employ a full-time staff that will be available during meetings and events?

Residence halls used by summer residential conferences are staffed by Wheaton College students during daytime and early evening hours. These students answer questions, give directions, and provide access to residence hall equipment. Your College event manager is always available to you during summer conferences, as well as during one-day events during the school year.

Does Wheaton College provide transportation services?

The College does not provide transportation services, but can furnish a list of taxi and limo services in the area. Directions to the campus are available.

What activities are available to our attendees?

Because Wheaton College is located in the western suburbs of Chicago, visitor attractions are plentiful. Resources are available on campus to provide information about area activities; there is a fully-stocked brochure rack just outside the College Bookstore.

In addition, the Sports & Recreation Complex is available to summer conferences by purchasing a one-day pass in the lobby of the building. The SRC contains a strength and conditioning room, gymnasiums, track, and a swimming pool.

Are waivers or releases required for activities at the College?

Wheaton College requires that conferences show proof of comprehensive general liability insurance coverage, with Wheaton College named as an additional insured. Minors who are not accompanied by a parent or guardian are required to bring a medical release with them to campus.

Will other groups or individuals be on site during our meeting or event?

Because Wheaton College housing can accommodate almost 1,300 people during summer months, it is possible that another conference and/or meeting may be on campus during your event.

Are emergency services and security procedures in place on the campus?

Uniformed Public Safety officers are on duty 24 hours a day patrolling campus to ensure safety and security. They are professionally trained and will respond immediately to any report of emergency. Clinics and hospitals are available near the College campus.

Is Wheaton College accessible for all attendees?

Yes, most College buildings, including meeting facilities and residence halls, can accommodate guests with disabilities.
